Project Lifecycle and Statuses
Every project in ZonaPlan moves through a defined lifecycle.
Project Statuses
| Status | Description |
|---|---|
| PLANNING | Initial setup — adding tasks, team, and details |
| ACTIVE | Work is underway — crew can clock in, tasks can progress |
| COMPLETED | All work finished — project is done |
| ARCHIVED | Stored for records — no longer active |
Moving Between Statuses
- **PLANNING → ACTIVE**: When you're ready to start work, activate the project
- **ACTIVE → COMPLETED**: When all tasks are done and final closeout is complete
- **COMPLETED → ARCHIVED**: Move to archives for long-term storage
- You can reopen an archived project if needed
What Each Status Means
**PLANNING**: Use this phase to: - Set up all tasks and groups - Add team members - Configure project settings - Set budgets and timelines
**ACTIVE**: During this phase: - Crew can clock in and out - Tasks can be worked on and updated - Daily closeout reports are generated - Invoices can be created and sent
**COMPLETED**: After completion: - No new clock entries allowed - All data preserved for reporting - Final invoices can still be sent - Reports remain accessible
**ARCHIVED**: Long-term storage: - Project is hidden from active views - All data preserved - Can be found via search or archive filter
